Description and scope of data processing

Each time our website is accessed, data about the accessing computer is required to provide the information (necessary for the provision of the information; legal basis: Art. 6(1)(e)). The following data is processed in this context:

1. Information about the browser type and version used
2. The operating system of the user
3. The IP address of the user.
4. Date and time of access
5. Websites from which the user's system accesses our website
6. E-mail address
7. Name (optional, if desired)

The data is also stored in the log files of our system for a maximum of five days. This data is not stored together with other personal data of the user.

Mailing list

In order for the user to receive the requested information, the e-mail address and optionally, at the user's request, the name are stored on our server. This data is not processed for other purposes or with other personal data of the user.
The subscription to the list can be cancelled at any time, the personal data for receiving the information will then be deleted from the respective list.

Legal basis for data processing

The legal basis for the temporary storage of the data and the log files is Art. 6 para. 1 lit. f DSGVO.

Purpose of the data processing

The temporary storage of the IP address by the system is necessary to enable delivery of the website to the user's computer. For this purpose, the user's IP address must remain stored for the duration of the session.

The storage in log files is done to ensure the functionality of the website. In addition, we use the data to optimise the website and to ensure the security of our information technology systems. An evaluation of the data for marketing purposes does not take place in this context.

These purposes are also our legitimate interest in data processing according to Art. 6 para. 1 lit. f DSGVO.

Web analysis through Matomo (formerly PIWIK)

1. Scope of Personal Data Processing
We use the open-source software tool Matomo (formerly PIWIK) on our website to analyze our users’ browsing behavior. The software places a cookie on the user’s computer (see above for information on cookies). When individual pages of our website are accessed, the following data is stored:

Two bytes of the IP address of the user’s system
The webpage accessed
The website from which the user accessed the webpage (referrer)
The subpages accessed from the webpage
The duration of the visit to the website
The frequency of visits to the website
The software runs exclusively on the servers of Ruhr University Bochum. Users’ personal data is stored only there. The data is not disclosed to third parties.

The software is set in such a way that the IP addresses are not stored completely, but 2 bytes of the IP address are masked (e.g.: 192.168.xxx.xxx). In this way, it is no longer possible to assign the shortened IP address to the calling computer.

2. Purpose of Data Processing and Legal Basis
Processing users’ personal data enables us to analyze their browsing behavior. By evaluating the data collected, we are able to compile information about the use of the individual components of our website. This helps us to continuously improve our website and its user-friendliness. Anonymizing the IP address adequately safeguards users’ interests regarding the protection of their personal data.

The legal basis for the processing of the users' personal data is Art. 6 para. 1 lit. e DSGVO.

3. duration of storage
The data is deleted as soon as it is no longer required for our recording purposes. In our case, this is the case after 90 days.

4. Option to Object and Delete
Cookies are stored on the user’s computer and transmitted from there to our site. Therefore, as a user, you have full control over the use of cookies. By changing the settings in your web browser, you can disable or restrict the transmission of cookies. Cookies that have already been stored can be deleted at any time. This can also be done automatically. If cookies are disabled for our website, you may no longer be able to use all of the website’s features to their full extent.

We offer our users the option of opting out of the analysis process on our website. To do this, you must follow the corresponding link. In this way, another cookie is set on their system, which signals to our system not to save the user's data. If the user deletes the corresponding cookie from their own system in the meantime, they must set the opt-out cookie again. Alternatively, you can activate the "Do-not-track" setting in your browser.

When contacting us by email, the data you provide (email address, further information you provide) will be processed and stored by us in order to answer your questions. Files of this kind are kept at the Ruhr-Universität Bochum for 5 years (necessary for the fulfilment of the task, retention period according to the Ruhr-Universität directive, legal basis Art. 6 para. 1, letter e).

Your rights as a data subject

If your personal data is processed, you are a data subject within the meaning of the GDPR and you have the following rights vis-à-vis the controller:

You can request confirmation as to whether personal data concerning you is being processed. If such processing is taking place, you can obtain information about the purpose, the data, the origin of the data, recipients of data (including international transfers) and the duration of storage.

You have the right to have the data corrected if it is inaccurate or incomplete. Under various conditions, you have the right to have the data deleted or to restrict the processing. In particular, data that you have provided voluntarily must be deleted if you withdraw your consent. If data has been disclosed, the deletion also applies to the recipients of data and we will inform you of the recipients of your data.
